This Privacy Policy describes how Helios Systems, LLC (“Helios,” “we,” “us”) collects, uses, and shares information when you visit heliopshub.com, create an account, place an order, request a 3D-print quote, download software, use on-site support chat, or contact us. This is a business-policy description of current practices, not legal advice.

We do not maintain a dedicated EU or UK representative or Data Protection Officer. Visitors outside the United States may still contact the same email for access or deletion requests.

2. Information we collect

  • Account information: name, email address, password hash, account type, and preferences you provide at registration.
  • Order and checkout information: products ordered, shipping address, phone, order notes, compliance or licensing details you submit, payment method choice, and payment status.
  • Print-quote uploads: STL files, quote configuration, shipping ZIP if provided, and contact details submitted with a quote.
  • Contact form: name, optional business, email, optional phone, subject, and message.
  • Support chat: messages you send through the on-site support widget, plus your name and email if you start a guest chat, or your account email if you are signed in. An automated assistant may process those messages to draft a first reply; staff can still read the thread.
  • Download and security logs: sign-in events, download authorizations, IP address, browser type, and timestamps to protect licensed software and prevent abuse.
  • Diagnostic logs: if you choose Upload logs in HeliosForged, app version, machine connection state, and recent crash or startup logs are stored for support staff to review.
  • Technical data: strictly necessary cookies or local storage used to maintain your session and cart; service logs from our hosting provider. See the Cookie Policy.

3. How we use information

  • Create and manage your account and software entitlements.
  • Process orders, confirm payment, and fulfill shipments or digital access.
  • Review print quotes, confirm printability, and communicate final pricing.
  • Provide customer support, including automated first replies in the on-site chat, and respond to inquiries.
  • Protect the website, accounts, downloads, and product ecosystem from fraud and unauthorized access.
  • Comply with applicable law and enforce our Terms and Conditions.

If you accept optional advertising cookies, we may use limited technical data (such as page views and a browser identifier created by the Meta Pixel) to measure advertising campaigns. That use does not happen until you consent. You can change your choice at any time through Cookie settings.

4. Processors we use

We share information with service providers that process it on our behalf. The processors we actually use today are:

  • Netlify — website hosting, serverless functions, form handling (including the public contact form), support-chat storage, and related infrastructure. If you use support chat, an automated first reply may be generated through Netlify’s AI Gateway.
  • Stripe — card checkout when you choose secure card payment. Card details are entered on this site through Stripe’s secure fields.
  • Meta Platforms, Inc. — only if you accept optional advertising cookies and a Meta Pixel is configured. Meta may receive page-view and similar event data through the Pixel and Conversions tools. See Meta’s Privacy Policy and Data Processing Terms.

We also share shipping addresses with the carrier used for a given shipment. We do not list an email-hosting vendor here because this site does not publish a specific third-party mail provider. We do not invent additional processors.

5. How we share information

We do not sell your personal information. We may share information with:

  • The processors named above.
  • Shipping carriers to deliver physical products.
  • Law enforcement or regulators when required by law or to protect rights, safety, and compliance.

If you accept optional advertising cookies, limited event data may be shared with Meta for ads measurement. That can be treated as a “share” for cross-context behavioral advertising under the California Consumer Privacy Act / California Privacy Rights Act. You can opt out by rejecting optional cookies in Cookie settings. If you reject, or if no Pixel is configured, we do not share that advertising event data.

6. Cookies and similar storage

Categories in use today:

  • Strictly necessary: session and account cookies helios_refresh and helios_session_hint, plus browser local storage for cart state and, if you start a guest support chat, a local conversation token (helios-support-guest).
  • Analytics and advertising: the Meta Pixel and related advertising cookies load only after you accept optional cookies in the consent banner. They are not loaded if you reject, or if no Pixel ID is configured. Google, TikTok, and LinkedIn tags are not installed.

7. Access, correction, and deletion

Email info@heliopshub.com to request access to, correction of, or deletion of personal information we hold. We aim to respond within 30 days, and sooner when we reasonably can. Some records (for example order history, tax, security, or licensing logs) may be retained as required by law or to complete a transaction you requested.

You may also update some account details from your account page after signing in. Optional two-factor authentication is available for additional account protection.

8. California privacy rights (CCPA / CPRA style)

If you are a California resident, you may request to:

  • Know the categories and specific pieces of personal information we have collected about you.
  • Delete personal information, subject to legal exceptions.
  • Correct inaccurate personal information.
  • Opt out of sale or share of personal information.

Helios Systems does not sell personal information. You may opt out of advertising “share” with Meta by rejecting optional cookies. We will not discriminate against you for exercising these rights. Submit requests to info@heliopshub.com.

9. Visitors in the EU, UK, and other regions

This site is operated from the United States. If you visit from the EU, UK, or elsewhere, you may still email info@heliopshub.com to request access or deletion. We do not claim a GDPR representative, DPO, or a specific legal-basis memo in this policy.

10. Children and age 18+

Our services are not directed to individuals under 18. We do not knowingly collect information from children. Checkout requires confirmation that the purchaser is 18 or older.

11. Data retention

We retain account, order, quote, and security records as long as needed to provide services, meet legal obligations, resolve disputes, and enforce agreements. Download audit logs may be retained for security and licensing compliance.

12. Security

We use industry-standard measures including encrypted connections (HTTPS), hashed passwords, access controls, and rate limiting. No method of transmission or storage is completely secure. You are responsible for safeguarding your account credentials.

13. Changes

We may update this Privacy Policy by posting a new version on this page with an updated effective date. Material changes will be reflected in the version number shown at the top of this document.
